Challenge
Every morning two dispatchers spent three hours matching 3,000 orders to 60 drivers from printed manifests, then phoning each driver with changes through the day.
Customers called the office to ask where their parcel was, and failed deliveries were only discovered when paperwork came back in the evening.
Approach
We spent a week in the dispatch office recording every decision a dispatcher made and why, then turned the repeatable rules into a routing specification the operations lead signed off.
Driver communication moved to WhatsApp templates so no one had to install a new app.
Solution
Orders flow from the client's ERP into an n8n pipeline that groups them by zone, assigns drivers by capacity and shift, and pushes the route to each driver's phone.
Drivers confirm each drop with a photo; exceptions page a dispatcher instead of waiting for the evening paperwork.
Results
Morning dispatch now takes under 20 minutes. Customer 'where is my parcel' calls fell sharply because tracking links go out automatically.
